Dynamic Name Association (DNA)

For decade’s, records management software for Law Enforcement Agencies have used one of two styles of Master Name Record systems.  While both styles have their advantages, they both have disadvantages as well.  Seeing this lingering problem, eFORCE® has developed a new way to handle Master Name records that bridges the gap between the two styles and has developed new technology to solve this problem. This new technology is called DNA (Dynamic Name Association^TM)!

The eFORCE® DNA technology improves and automates record linking within the modules and were made available to customers in a release last fall.  As the name implies the CAD/RMS/JMS system will dynamically associate name records to the Master Name record in the system based on key identifiers.

Just like real DNA helps investigators identify criminals, the eFORCE® DNA helps identify and link name records.  The system will now link the new record to the Master Name and update the Master Name with any new changes (ie. different address, phone number or changes in height and weight, etc…).  All of the other name records for that person will become historical records under the Master Name to make it easier to understand and more powerful to use.

The most recent photo attached to a name record will be immediately available by hovering over the DNA icon, of an individual.  All photos from any historical name record will be associated with the Master Name Record without the need to drill-down to the historical record.  With DNA, the system will automatically associate duplicate names and aliases to the Master Name without the loss of data that happens with name merge utilities.

System Administrators will have the ability to link names that are not dynamically linked.  If it is later determined that the two name records should not have been linked because they are in fact two different individuals, the System Administrator will be able to unlink the records.  All original historical name information for each individual will be associated with the correct individual so that there will be no loss of historical name information.

The same style of record linking has also been used in the Property and Vehicle modules.  All property and vehicle records will have the exact style and functionality when a piece of property or a vehicle is involved in different events.  Property and Vehicle records will also use the same DNA icon.
